Trips & duty slips

A digital duty slip your drivers will actually fill in

A duty slip is the record of a single trip: the vehicle, the driver, the opening and closing kilometres, times and the customer's signature. In Levart every on-call trip gets a duty slip link. You send it on WhatsApp, the driver opens it on any phone — nothing to install — and records the readings with photos. When they finish, the trip is closed and priced in your office.

Why a link and not an app

Drivers already have WhatsApp and a dozen apps they don't use. A supplier's driver doing one trip for you is not going to install another one. So the duty slip is a web page: you share the link, it opens in the phone's browser, and it works on cheap Android phones on patchy networks.

Three steps, filled in by the people who were there

For a supplier trip, the supplier opens the link first and adds the car — registration number, make, owner — and the driver's name and number. Then they hand the phone to the driver. Your own trips skip straight to the driver.

At the start, the driver enters the opening kilometres and takes a photo of the odometer. At the end, the closing kilometres, another photo, any tolls or parking, and the customer signs on the screen.

Closed in the field, billed in the office

The moment the driver finishes, the trip shows as completed in your trips list, with the photos and signature attached and the amount worked out. You get a notification. Nobody types the slip in at the end of the month, and nobody argues about a number that's on a photo.

Lost the link or sent it to the wrong person? Issue a new one from the trip; the old one stops working.

Questions

Digital duty slip: common questions

Do drivers need to install anything to fill a duty slip?

No. The duty slip is a link that opens in the phone's browser. It works on any smartphone.

What does the driver record on the duty slip?

The opening and closing kilometres with a photo of the odometer each time, tolls and parking, and the customer's signature. For supplier trips, the supplier first adds the vehicle and driver details.

What happens if a duty slip link is shared with the wrong person?

Issue a fresh link from the trip. The old link stops working straight away.
